Internal Chairman – Gold Division

Purpose
The Internal Chairman – Gold Division serves as the primary leader and administrator for the Gold Division, overseeing all player-facing operations, team formation, scheduling, communication, rule management, and division-level player issues. This position is one of the most hands-on and operationally demanding roles on the Board — a true “workhorse” position that directly influences player experience, competitive balance, safety, and the smooth running of the season. The Internal Chairman ensures that the Gold Division operates efficiently, fairly, and in full alignment with The Relics’ standards and values.
Key Responsibilities
Division Leadership & Player Engagement
- Serve as the primary point of contact and ambassador for all Gold Division players.
- Promote the league within the community and actively encourage new players to join.
- Respond to inquiries from prospective players, providing information about registration, skills expectations, and league culture.
- Personally reach out to new registrants to welcome them, answer questions, and help them integrate into the division.
- Foster a positive, respectful, and inclusive environment that reflects the values of The Relics.
Coaches & Team Structure Management
- Appoint, oversee, and support the (7) team coaches within the division, filling vacancies promptly when needed.
- Maintain strong communication with coaches and ensure they understand league expectations, rules, and responsibilities.
- Serve as the escalation point for coach-related concerns, performance issues, or disciplinary matters.
Registration, Waitlist & Roster Control
- Decide when to open and close new player registration for the division based on competitive balance and roster capacity.
- Determine appropriate waitlist size and manage communication with waitlisted players.
- Ensure rosters are maintained with accuracy and fairness throughout the season.
- Coordinate with the Registrar regarding new players, changes, and eligibility issues.
Player Evaluations, Draft & Team Formation
- Oversee all player evaluations (ratings), including organizing evaluation sessions and gathering coach feedback.
- Preside over the Gold Division draft, ensuring fairness, transparency, and competitive balance.
- Address post-draft roster issues or imbalances promptly and collaboratively with coaches and leadership.
Scheduling & Operational Planning
- Build the complete game schedule for the Gold Division, including accommodations for field availability, holidays, rainouts, and special events.
- Provide schedules to coaches, players, and the Board in a timely manner.
- Work with the Entertainment Committee, Public Relations Chairman, and Secretary when schedules impact league-wide events or communications.
Rules, Conduct & Dispute Resolution
- Participate in Rules Committee discussions regarding rule updates, clarifications, and division-specific considerations.
- Apply league rules consistently and fairly when addressing issues involving players, coaches, or teams.
- Record, review, and resolve player disputes, handling each situation professionally and discreetly.
- Provide input to the Commissioner, Assistant Commissioner, and Board regarding disciplinary matters or conduct violations.
Communication & Information Flow
- Communicate all important updates — schedule changes, weather decisions, rule clarifications, event reminders — to all Gold Division players and coaches.
- Ensure communication is timely, accurate, and delivered through appropriate channels.
- Encourage strong attendance at games, practices, meetings, and league events.
Field, Game Day & Operational Support
- Assist with on-field duties as needed, including setup, equipment management, game-day coordination, and ensuring the division runs smoothly.
- Support coaches with operational issues that arise during games or practices.
- Oversee the scheduling of game umpires, scoreboard operators, and other volunteer help as needed.
- Serve as a visible leader at the field, promoting sportsmanship and maintaining the league’s culture.
Desired Skills & Qualifications
- Strong leadership, communication, and people-management skills.
- Highly organized and able to handle multiple parallel responsibilities during the season.
- Fair, objective decision-maker capable of navigating disputes and enforcing rules.
- Comfortable coordinating and supervising coaches.
- Knowledge of senior-softball rules, strategy, and player development.
- Positive, optimistic, and approachable demeanor.
- Experience in scheduling, operations, or team management is helpful but not required.
Time Commitment
- Significant involvement during preseason (evaluations, draft planning, team formation, schedule building).
- Weekly in-season engagement to manage issues, communicate updates, support coaches, and handle disputes.
- Attendance at Board meetings, practices, games, and major league events.
- Occasional off-season work related to planning, rule updates, and division improvements.
Reporting & Accountability
- Reports to the Board and collaborates closely with the Assistant Commissioner, Registrar, Secretary, and Entertainment Committee.
- Responsible for overseeing the coaches and players of the Gold Division.
- Expected to maintain comprehensive records of evaluations, disputes, roster decisions, and coach appointments.
- Provides regular updates to the Board regarding division status, needs, and recommendations.
